Overview

In collaboration with a healthcare organization, Lotic developed a survey using its partner-facing platform to evaluate the impact of one of the organization’s critical programs amidst funding uncertainties. The goal was to gather feedback and insights to create a comprehensive journey map for the organization implementing the Lotic survey with its clients. Leading a feedback workshop, I explored partners' experiences guiding clients through the survey. This qualitative exploration uncovered successes, areas for improvement, and opportunities for enhancement to refine the survey experience in future engagements.

  1. Understand Technology Capabilities: Assess available technology prior to experience development to minimize setup challenges.

  2. Role Modeling: Have coordinators demonstrate the experience process to set clear expectations.

  3. Accessible Materials: Outline privacy policies and AI usage in plain language to enhance participant comfort.

  4. URL & QR Code Accessibility: Provide direct URLs on flyers for participants without QR-capable phones.

  5. Typing Option: Enable type responses for questions requiring verbal responses.

  6. Clinic-Specific Reports: Deliver customized reports to each clinic with relevant data, insights, and progress metrics.

  7. Executive Summary Updates: Share aggregated updates with executives to aid in strategic decision-making.

Impact & Reflection

The feedback workshop significantly enhanced our understanding of the challenges and successes in implementing the Lotic survey with the partner organization’s clients. Key insights into technological hurdles, client engagement, and overall user experience provided a clear direction for future improvements. Addressing technological limitations and providing clear, accessible materials emerged as crucial factors for successful survey implementation. The workshop emphasized the importance of role modeling by coordinators and creating an inclusive experience for clients with varying abilities. Moving forward, these insights will be integrated into the experience design and implementation process to enhance user experience and increase engagement in partner programs. Sharing detailed, clinic-specific reports and aggregated executive summaries will ensure partner stakeholders are continuously well-informed and able to make data-driven decisions throughout the program.
